Booking Terms & Conditions

1. Insurance & Food

1.1. All traders must have Public Liability Insurance cover for a minimum of £5m. It is the trader’s responsibility to ensure that their insurance is renewed annually.

1.2. Traders agree to take full responsibility for any losses, claims, damages, or costs (including professional fees) that may arise from their activities at the market.

1.3. All food traders must have attended food hygiene training, have a valid certificate and must be registered with their local authority.

1.4. Food Traders are required to adhere to the Food Standards Agency’s guidance on personal hygiene, hand washing and fitness for work.

1.5. Food Traders are required to have hand wash facilities on their stall.

1.6. Food products must be compliant with Trading Standards, be clearly priced and weights shown for pre-weighed items.

1.7. Traders are required to display information relating to allergens, and to ask customers to notify them if they have any allergies.

1.8. Steam Stokes Croft are not responsible for any allergic reaction, food poisoning or other injury or illness caused by an item sold by a market trader.

2. Timings

2.1. All traders must be present for the duration of the market and should not pack down or leave before the market finishes at 6pm. This will only be permitted in exceptional circumstances and only by prior agreement with the Administrator or Bar Manager.

2.2. There is no provision for traders car parking, please be aware of local parking restrictions.

3. Cleanliness

3.1. Traders are responsible for clearing their pitch at the end of the market including the removal of all rubbish and sweeping if necessary.

3.2. Traders are not permitted to use the Steam Stokes Croft bins to dispose of waste under any circumstances.

3.3. Street food traders must place durable and appropriate ground protection within the area of their stall to protect the slabs from damage caused by spills.

4. Health & Safety

4.1. A current risk assessment on all aspects of Steamfest has been carried out. It is the Market Managers responsibility to ensure the safety of market crew, traders and customers at the market, and will take decisions about the running of the market in relation to weather or other conditions.

4.2. Traders must follow instructions given and not act in a way that would endanger themselves or others.

4.3. It is the trader’s responsibility to ensure that all products sold are legal and comply with relevant regulations, including copyright, CE, and UKCA requirements.

4.4. If a trader causes damage to Steam Stokes Croft or Carriageworks property or equipment, the trader will be invoiced for the full cost of repairs.

4.5. Traders are responsible for their own equipment, vehicles and other possessions whilst trading at the market. Steam Stokes Croft take no responsibility for damages or losses to property that occur at or during the market..

5. Conduct

5.1.  Steam Stokes Croft operates a zero-tolerance policy toward abusive or disrespectful behaviour. All traders are expected to behave courteously and respectfully toward fellow traders, staff, customers and colleagues at all times.

Unacceptable behaviour includes, but is not limited to:

  • – Language that discriminates against, or targets, any protected characteristic (disability, race, religious belief, sex, gender, sexual orientation).
  • Threats, bullying, intimidation, aggressive shouting or harassment
  • Damage or theft of property
  • Driving in a dangerous manner that poses a risk to others or property.
  • Persistent or unreasonable demands.
  • Failure to comply with, or the deliberate disregard of, instructions issued by any member of Steam staff.
  • Smoking and vaping at/or near the stalls is prohibited.
  • Alcoholic drinks must not be consumed by traders at their stalls during the market.
  • Traders must maintain their stall in a clean and tidy manner.

Failure to comply with this policy may result in immediate removal from the market.

6. Electrical & Gas Appliances

6.1. Traders must supply their own means of power if electrical appliances are required. Steam Stokes Croft cannot provide power and pitch fee will not be refunded if stalls are unable to trade due to lack of power

6.2. It is the trader’s responsibility to ensure that all electrical equipment is in good working order, is regularly tested and carries an up to date PAT certificate. Uncertified appliances over 1 year old cannot be used.

6.3. It is the trader’s responsibility to ensure that all gas appliances are regularly checked and carry the necessary certification. Uncertified appliances cannot be used.

6.4. If the Bar Manager has any concern about a traders’ equipment, this will be raised and a resolution sought, which may include trading without the use of certain appliances. If no resolution can be found and the trader is unable to trade, pitch fees will not be refunded.

6.5. All traders using gas appliances are required to have a suitable fire extinguisher whilst trading, to ensure familiarity with its use and that the extinguisher is operational.

7. Payment

7.1. All pitches must be paid for a minimum of 14 days (2 weeks) in advance via email link from our booking platform Bookbambi. Please note that without prepayment no booking is guaranteed and your pitch will stay open until payment is received.

7.2. Traders that have not paid their pitch fee are not permitted to trade at the Steamfest market.

8. Cancellations

8.1. Traders may amend or cancel a confirmed booking up to 28 days (4 weeks) before the market date.

8.2. Cancellations made 14 days (2 weeks) before Steamfest must provide an alternative stallholder to receive their pitch fee refund.

8.3. Cancellations made within 14 days (2 weeks) of the market date are non-refundable under any circumstances. If the pitch is unpaid at time of cancelling, the trader will be invoiced for the full pitch amount.
